Search contacts & conversations
Find contacts, leads, and message content across your pipeline with tenant-wide and in-thread search.
Overview
Signals provides two search modes: tenant-wide search for finding contacts and conversations across your entire pipeline, and in-thread search for finding specific messages within a single conversation.
Tenant-wide search
The search bar at the top of the Work Queue lets you search across all contacts and conversations.
- Click the search bar or press the search shortcut
- Type a name, phone number, email address, or keyword
- Results appear instantly from the last 6 months of data
Results show the matching contact along with a snippet of the relevant conversation, so you can see context without opening the thread.
Deep search
If the contact or conversation you're looking for is older than 6 months, click the Deep search button below the initial results.
Deep search scans your full contact database (up to 200 leads per query) and takes a few seconds longer than the default search. Use it when:
- You're looking for an old contact who hasn't been active recently
- The default search didn't return what you expected
- You need to find a conversation from several months ago
In-thread message search
To search within a single conversation:
- Open the conversation thread
- Press Cmd+F (Mac) or Ctrl+F (Windows)
- Type your search term
Matching text is highlighted in amber. Use the Previous and Next arrows to navigate between matches. Press Escape to close the search bar.
In-thread search works entirely within the conversation you have open—it searches all messages in that thread regardless of age.
Filtering contacts
The Contacts page provides filters to narrow your pipeline view:
| Filter | Options |
|---|---|
| Tier | Hot, Warm, Cool, Cold |
| Channel | SMS, Voice, Email, Import |
| State | Pipeline stage (new, contacted, qualified, etc.) |
| Intent | Based on your industry preset (booking, inquiry, etc.) |
| Sort | Score (highest first), Name, Last Activity |
Combine filters to focus on specific segments—for example, show only hot leads from SMS with booking intent.
Tips
- Default search is fast. It covers the last 6 months and returns results instantly. Start there.
- Use deep search sparingly. It's slower because it scans more data. Only use it when the default search comes up empty.
- In-thread search is local. It searches the messages already loaded in the conversation—no network request needed.
- Combine filters with search. Use the Contacts page filters to narrow by tier or channel, then search within the filtered results.
