Signals for medical spas

Set up Warpflow Signals for your medical spa with after-hours capture, cycle re-booking, Signal Guard (HIPAA), and brand voice.

Warpflow includes a Medical Aesthetics preset designed for medical spas and aesthetics practices. It loads routing rules, templates, brand voice, and HIPAA-compliant Signal Guard rules in one click.

  1. Go to Industry Presets in your dashboard
  2. Select Medical Aesthetics
  3. Click Apply and confirm

What the preset includes

Routing rules

The Medical Aesthetics preset loads rules for the most common med spa scenarios:

Pre-built SMS and email templates for:

  • After-hours acknowledgment
  • Missed call follow-up
  • Booking confirmation
  • Treatment follow-up / re-booking reminder
  • General inquiry response

Customize these on the Templates page. Use {{contact.first_name}} and {{business_name}} for personalization.

Brand voice

The preset selects the Caring Concierge persona: warm, empathetic, and professional. This is the tone most med spa patients expect.

If you prefer a more clinical tone, switch to Warm Professional on the Brand Voice page. Both work well for aesthetics practices.

Signal Guard (HIPAA)

Enabled by default. The Medical Aesthetics Signal Guard preset includes:

  • Prohibited phrases: "diagnose," "prescribe," "guaranteed results," "cure," "permanent"
  • Escalation keywords: "allergic reaction," "infection," "malpractice"
  • Urgent keyword escalation: messages containing urgent medical keywords (like "allergic reaction" or "infection") are automatically escalated to your team
  • Compliance rules: No medical advice in AI replies, always recommend an in-person consultation for clinical questions
  • AI judge: Evaluates every reply for HIPAA-sensitive content before sending

What to customize first

After applying the preset:

  1. Templates: update the business name, phone number, and booking link in each template
  2. Business hours: set your actual schedule (the preset uses a default Mon–Fri 9–5)
  3. Brand voice persona name: change it from the default to your practice name (for example, "The Glow Studio Team")
  4. Prohibited words: add any terms specific to your practice that AI should avoid
  5. Test with the test runner: paste real patient messages and verify the rules fire correctly
